Software systems productivity

Business IT systems have managed to stay relatively unchanged for the past 20 years if you look at the day-to-day work of the average user. At the start of each day the user logs in with their user account and password to the system. Then they open their Outlook client and start going through their emails. If the management team had invested in improving operations, there is probably a productivity software or a website that each user also logs in to view clients, projects, sales, etc. It is also quite likely that for many SMEs the users just open an Excel sheet with the list of projects/tasks and start working through them.

In 2021 business owners need to focus on the productivity and cost-effective operations of their business. The operational efficiency that the IT system facilitates can make or break a business. Those who ignore this will see their business models becoming obsolete overnight as they are replaced by technology-enabled disruptors in the industry. Without trying to sound alarmist, this is further emphasised by the increasing use of Artificial Intelligence assistance, but that is a different topic for another time.


The software systems are now more important than the hardware equipment they are running on and in some instances even from the people operating them. Computers and tablets are relatively cheap and can be set up with an email account and a web browser by most savvy users. The question of cybersecurity must not be overlooked, but that is also a topic for another post.

Small incremental changes can result in productivity improvements and business growth. It is also very important that staff productivity is not hindered by the software systems in place, by overambitious reorganisation initiatives. It is important to get the team's buy-in when such changes take place to make the most of the new investment. Sometimes, that might mean the inevitable staff turnaround.
